Privacy notice

2. What personal data we collect
When you request a quote through this page, we collect:
- Your name
- Your phone number
- Your email address
- Your street address, town and postcode
- Any details you add in the message field about the work you need done
We also collect technical data automatically when you visit the page:
- IP address
- Device and browser type
- Pages viewed and time on page
- Click identifiers passed by the advertising platform that brought you here, such as a Google Click Identifier (gclid), Web Bidding Request ID (wbraid), Google Bidding Request ID (gbraid), Microsoft Click ID (msclkid), or Meta Click Identifier (fbclid)
- Campaign source information from UTM parameters
- Cookie identifiers, where you have consented to non-essential cookies
3. Why we process your data and our lawful basis
| Purpose | Lawful basis |
|---|---|
| Responding to your quote request and arranging a site visit | Legitimate interests: we need your contact details to reply to an enquiry you have chosen to send us, and processing is limited to what a reasonable person requesting a quote would expect. |
| Keeping records of enquiries and completed work for our own administration, invoicing and insurance purposes | Legitimate interests, and legal obligation where records must be kept for tax or insurance purposes. |
| Measuring which adverts and keywords led to your enquiry, so we can report accurately to our advertising platforms and avoid wasting budget on searches that do not lead to real jobs | Legitimate interests, balanced against your right to privacy; this uses click identifiers and campaign data, not the content of your enquiry. |
| Sending you marketing about our services, if you opt in | Consent, given separately from the quote request. You can withdraw this at any time. |
| Setting non-essential cookies (analytics and advertising) | Consent, given through the cookie banner before any such cookie is set, in line with the Privacy and Electronic Communications Regulations (PECR). |
4. How long we keep your data
We keep quote and enquiry data for as long as reasonably needed to respond, complete any resulting work, and meet our accounting, tax and insurance record-keeping obligations, and then delete or anonymise it. Where you have not proceeded with a quote, we keep the enquiry for a limited period to allow follow up before deleting it. Cookie and analytics data is retained according to the retention settings of the relevant platform, typically no longer than 14 months for Google Analytics.
5. Who we share your data with
We share personal data with the following categories of recipient, and with no one else, except where the law requires it:
- Automation and enquiry routing. We use an automation platform (Zapier) to route your quote request from this page into our scheduling and customer systems. The platform processes the data on our instructions and does not use it for its own purposes.
- Website hosting and enquiry notifications. This page is hosted by Netlify, which also receives a copy of your quote request so that it can be delivered to our email inbox. Netlify processes the data on our instructions and does not use it for its own purposes.
- Customer relationship management. Your enquiry and, if you become a customer, your job history are stored in our customer management system so we can manage the relationship and any ongoing work.
- Advertising and analytics providers. Google acts as both an advertising platform (Google Ads) and an analytics provider (Google Analytics) for this page. Google receives technical and click identifier data described in section 2, which it uses to measure advertising performance and site usage. Where you have consented to non-essential cookies, this includes cookie based measurement. Where you have not yet chosen, or have rejected cookies, Google tags run in a cookieless mode (Google Consent Mode) that sends limited signals without setting cookies or using persistent identifiers, which Google may use to produce aggregated, modelled statistics. Where you have consented to advertising cookies and you submit the quote form, a hashed (unreadable) version of the contact details you provide may also be shared with Google to improve the accuracy of conversion measurement (enhanced conversions); Google cannot recover the original details from these hashes and uses them only for measurement.
- Meta (Facebook and Instagram advertising). The pages of this site whose address begins with /meta/, which we use for our Facebook and Instagram advertising, load the Meta Pixel. The pixel stays switched off until you choose "Accept" on the cookie banner: before then no data is sent to Meta and no Meta cookies are set, and if you reject it stays off entirely (Meta has no cookieless mode). Where you have accepted and you submit the quote form, the contact details you provide are converted to hashed (unreadable) values in your own browser before being shared with Meta to improve the accuracy of conversion measurement (advanced matching); Meta cannot recover the original details from these hashes.
- LeadConnector (HighLevel) chat widget. The "Ask Mary" chat button on these pages is provided by LeadConnector, the platform behind our customer enquiry system. It only loads after you choose "Accept" on the cookie banner; before then nothing is sent to LeadConnector and no LeadConnector cookies are set, and if you reject it does not load at all. If you use the chat, the messages you send and the contact details you give are stored in our enquiry system so the team can reply and, if you ask for one, book a free site visit. Mary is a virtual assistant and says so in her first message; a member of the team can take over the conversation at any time.
- Professional advisers and authorities. Where necessary for accounting, tax, insurance claims, or where we are required to by law or a valid request from a regulator or law enforcement.
We do not sell your personal data to anyone.
6. International transfers
Some of the providers named above, including Google, may process data outside the UK and European Economic Area, including in the United States. Where this happens, we rely on the provider's participation in an approved transfer mechanism, such as the UK's International Data Transfer Addendum or the EU Standard Contractual Clauses, to ensure your data continues to receive an equivalent standard of protection.
7. Your rights
Under UK GDPR, you have the right to:
- Ask us for a copy of the personal data we hold about you
- Ask us to correct inaccurate or incomplete data
- Ask us to delete your data, where there is no good reason for us to keep processing it
- Ask us to restrict processing of your data in certain circumstances
- Object to processing based on legitimate interests, including for direct marketing at any time
- Ask us to transfer your data to another organisation, in certain circumstances
- Withdraw consent at any time, where we rely on consent, without affecting the lawfulness of processing before you withdrew it
To exercise any of these rights, contact us at info@locketttreesurgery.com or 07747 127 023. We will respond within one month.
8. How to complain
If you are unhappy with how we have handled your personal data, please contact us first so we can try to put things right. You also have the right to complain to the UK's data protection regulator:
- Information Commissioner's Office (ICO)
- Address: Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF
- Telephone: 0303 123 1113
- Website: ico.org.uk/make-a-complaint
9. Cookies
This page uses essential cookies that are needed for the page to work, and non-essential cookies for analytics (Google Analytics) and advertising measurement (Google Ads, and the Meta Pixel on the pages of this site whose address begins with /meta/), and cookies set by the LeadConnector chat widget so a conversation can continue across pages, all of which are only set after you choose "Accept" on the cookie banner. See our cookie notice for the full list and how to change your choice at any time.
10. Changes to this notice
We may update this notice from time to time. The date at the top shows when it was last revised. Significant changes will be reflected here before they take effect.
